Dear Colleagues,

With this second announcement of the 54th Congress of the SA Orthopaedic Association planned for 1-5 September 2008 at the Cape Town International Convention Centre (CTICC) in Cape Town, you are being informed of

  • the registration form
  • the floor plan of the exhibition venue
  • Information relating to sponsorship and advertising
Please note all this information will be available online this year and you will need to purchase your stands online on or after the designated stand sale day - 25 February 2008

Please complete the trade registration form online and send your proof of payment details to ICE Solution on fax 0861 423 555 or +27 11 911 1939. Only once payment is received will your stand/s be confirmed.

IMPORTANT INFORMATION for the TRADE
  • As per the trade request the exhibition hall will be open for 4 days only from Monday 1 September to Thursday 4 September. Breakdown will only be allowed after afternoon tea on Thursday so at approximately 16h00 and to be complete by midnight
  • We only have 80 stands for sale this year and 2 hospitality suites
  • Set up will be on Sunday 31 August only until first tea on Monday 1 September ie 10h00. Please note that this is due to the venue only being available to us from the Sunday. We will make every effort to get into the venue as early as possible on Sunday – more information will be detailed in the final trade announcement. Please advise your stand builders accordingly
  • Should any trade set up their stand late or break down/strike early, the Congress Organising Committee will have the right to impose penalties
Exhibition /Stands

Trade exhibits will be situated in the Ballroom located on the first level of the Cape Town International Convention Centre (CTICC). Exhibits will be open Monday 1 September to Thursday 4 September 2008 (only open for 4 days this year) of the Congress and will offer the latest technology in the fields of Orthopaedic Surgery.

Deliveries

No deliveries will be accepted by the CTICC. All deliveries are to be brought in by your exhibition builders or yourselves on set-up days

Exhibitors are responsible for their own set up costs and all stands have to comply with the regulations as set out by the CTICC in the exhibition guidelines that will be sent to you in the 3rd Trade Announcement

The exhibition area has been planned to maximize the flow of delegates through the whole area. We do understand, however, that exhibitors may want to choose specific stands according to their personal preference and budget

In order to make the sale of stands as fair as possible we have instituted the following process

Process
  1. Exhibitors must indicate on the online registration form their first, second and third choice of stands by email or fax. Every effort will be made to accommodate your request but as explained in notes A&B below, allocation will only be confirmed on receipt of payment.
  2. The exhibitor is to please send the secretariat (ICE Solution) a confirmation (proof) of payment. (Please include the date of payment; the method of payment and bank reference numbers if applicable.)
  3. The exhibition secretariat (ICE Solution) will confirm in writing the stand(s) allocated.
Notes
  1. At present the demand for exhibition space is considerable and in order to make the process as fair as possible we can only allocate and confirm exact stand allocation/s once payment has been received
  2. Exhibitors should be aware that if there is a long interval between the dates that they indicate their preferred choices (step 2) and the receipt of payment, their preferred stands may have been reserved and paid for by another exhibitor. However, the secretariat (ICE Solution) undertakes to stay in close communication with all exhibitors during this process and to keep them informed of the continued availability or unavailability of their chosen stand/s
We trust that exhibitors will find these procedures fair and we would like to assure exhibitors of our co-operation at all times to assist in securing their preferred stand(s)

All tea, coffee & lunch breaks will be held in the exhibition venue to give the exhibitors maximum exposure to the Congress delegates

Congress fee

The fees for the exhibition stands and charges for the stand personnel are indicated on the registration form (for details of fees please refer to the registration form)

The Congress registration fees include the following:
  • 2 x 3 or 3 x 3m exhibition stand floor space (no shell scheme)


  • 1 x 15 ampere plug point


  • 1 x table and 2 x chairs – available on request by the trade company


  • 1 x Dustbin


  • Parking - Daily parking at the CTICC 1-4 September 2008 (not including set up day) – one x multi access parking ticket per stand personnel per day


  • Security – The CTICC has 24 hour perimeter security and the Congress organisers have arranged for additional security in the exhibition area and loading docks for set up days and breakdown and for nights. If you require any further security it will be for your own account


  • Storage - please note there are NO storage facilities at the CTICC – please contact Krew Translink on Tel 021 422 1190 or Cell 083 414 0477 to make necessary arrangements (this will be for your own account)


  • Skip waste – will be supplied for the removal of waste from the trade during exhibition set up on 31 August only


  • Cleaning - Extra cleaning personnel will do a once off clean on Sunday night or Monday morning after set-up. No stands will be cleaned again after this as CTICC cleaning services are only for the passage way in the Exhibition Hall a nd public areas. If you require additional cleaning services this will be for your own account (order form will be provided)


  • Banner rigging - not provided. If you required this will be for your own account – contact David Degbor of Greystone Projects on 082 686 8438 or david@serotonin.co.za


  • Monday 1 September: registration, teas and coffees, access to Congress presentations, lunch (including limited drinks) and opening Cocktail function with snacks, limited drinks and entertainment at the CTICC


  • Tuesday 2 September: Access to Congress presentations, lunch (including limited drinks), social function (offsite) with dinner, limited drinks and entertainment

  • Token entrance fee for social function: (charged for the purposes of confirming numbers) – R100.00 per person

  • Wednesday 3 September: Access to Congress presentations, teas and coffees, packed lunch, Leisure activities including Golf OR wine tasting afternoon (cost is additional R150 per person for the wine tasting charged to avoid no shows). Evening at leisure

  • Thursday 4 September: Access to Congress presentations, teas and coffees, lunch (including limited drinks) and Gala dinner at the Westin Grand (old Sheraton) with dinner, limited drinks and entertainment. Token entrance fee for Gala dinner:

  • Token entrance fee for the gala dinner (charged for the purposes of confirming numbers) - R150.00 per person
Hospitality suites

In addition to the exhibition stands, there will also be 2 (two) Hospitality Suites available - situated in the Exhibition area (Ballroom – first level) There is no physical wall structure as the hospitality suites are located within the exhibition area but a shell scheme will be provided on request. Both hospitality suites are optimally situated in the centre of the Ballroom and are 6mx6m each. The minimum requirements in hosting the hospitality suites will be to provide Internet facilities for the delegates. The Hospitality Suites will be sold on a first come first serve basis

Hospitality suite 1 is R80 000-00 and is entitled to 8 stand personnel

Hospitality suite 2 is R80 000-00 and is entitled to 8 stand personnel
